An unpaid invoice isn't just a cash flow problem. It's an open file in your head that drains energy every time the month draws to a close. The good news: getting paid what you're owed doesn't have to cost you a client relationship. It's about knowing what to say, when to say it, and how to say it.

1. Don't ask for money: offer a service

The natural instinct is to follow up with a direct demand. That's usually the wrong move.

Assume your client is acting in good faith. A late payment is rarely intentional: a misplaced invoice, a change of bookkeeper, a calendar slip. By framing your first contact as a check-in ("just making sure everything arrived") you trigger the principle of reciprocity. Your client reads it as a courtesy, not pressure. The result: they pay faster, with no friction to the relationship.

The most effective follow-up is the one your client doesn't experience as a follow-up.

2. Your three-step timeline, without losing a single day

Every day without a follow-up is another day of waiting. Here's the sequence that works.

Step 1: The check-in email (7 days after the due date)

  • Goal: rule out any doubt that the invoice was received.
  • Message: "Hi, just wanted to make sure you received my invoice and everything's clear on your end. I've attached it again in case you need it."
  • Tip: always attach the original QR-invoice. A client who scans a code pays, on average, 3x faster than one asked to enter an IBAN by hand.

Step 2: The formal reminder (14 days after the first message)

  • Goal: get a firm payment date, not a vague promise.
  • Message: "Unless we're mistaken, your balance is still outstanding. Could you confirm the transfer will go out by Friday?"
  • Important: be specific about the date. "As soon as possible" isn't a date — it's an exit.

Step 3: The formal notice of default (last resort)

  • Goal: formally signal the end of the amicable phase.
  • Content: the document must explicitly state Formal Notice of Default, set a deadline of 5 to 7 days, and mention the applicable default interest (5% under the Swiss Code of Obligations). From this point, debt enforcement proceedings can begin.

3. Three ground rules for Switzerland

Firm on the outcome, spotless on the form: here's how to pull it off in practice.

  1. Be specific, not vague. Always reference the invoice number and the service in question. Vagueness buys time: if your client has to go dig up which invoice you mean, they'll do it tomorrow.
  2. Switch to registered mail if the silence continues. For the formal notice of default, registered mail is the only proof that holds up legally in debt enforcement proceedings. An email isn't enough.
  3. A two-minute call beats ten emails. A phone call surfaces the disputes clients won't put in writing: a contested service, a delivery issue, a change of contact person. Finding the real blocker is often the same thing as solving it.
